VACANCY
The Department of Foreign Affairs and Trade (DFAT) section of the Australian Consulate-General Guangzhou has a vacancy for a locally engaged staff member to fill the following position:
Passport / Administrative Assistant
This is a permanent position. Applications are invited from both Chinese and Australian Nationals. Successful applicant is required to complete relevant pre-employment procedures before commencement.
The vacancy will be filled at the LE 2 level with commencing salary of CNY 5,515 per calendar month. For Austrilian Nationals, an allowance that equates to the compulsory employer costs of the People’s Republic of China and the Provincial Social Insurance schemes will be paid to align total benefits for Chinese Nationals and Expatriates. We also offer competitive conditions including 20-day annual leave entitlement in pro rata, 14-day public holidays, commericial medical insurance plan and flexible working policy.

About the position
The Passports/ Administrative Assistant is responsible for providing a range of administrative support and client services to visitors and general information to clients calling and/or attending the Consulate. Position is also responsible for assisting the provision of passport services.
The key responsibilities of the position include, but are not limited to:
· Assist the passports team to interview clients, reviewing applicant’s documentation and forms, process applications within required benchmarks, provide advice to clients and issue passports and update the TARDIS system.
· Assist the accounts section with financial and administrative duties including acting as Accounts/Travel Assistant.
· Prepare bank reconciliation data at required intervals.
· Manage office support materials, such as the register of Third Person Notes (TPNs)
· Provide administrative assistance including research and analysis of information from administrative files, or general knowledge of local conditions
· Operate the central telephone switchboard
· Perform the function of sub-cashier for the collection of passport and consular fees.
· Act as back-up Receptionist.
SELECTION CRITERIA
· Demonstrated interpersonal and client service skills, including the handling of difficult and distressed clients from a variety of cultural backgrounds.
· Experience in reception duties such as telephone switchboard and customer enquiry handling.
· Demonstrated organisation and time management skills, inclusive of attention to detail.
· Fluent in written and spoken English and Mandarin, Cantonese language skills would be an advantage. Sound ability as an interpreter and translator between these languages.
· Good knowledge of computer applications in particular Microsoft Office. An ability to work with Consulate-specific software.
